By renting our product you agree to these terms and conditions:

Disclaimer: By renting our floral arrangements you understand that even if the flowers look real, and are named after real flowers, they are artificial replicas and only resemble the real flower for which it is named after or referred to. Our arrangements may slightly vary from the pictures shown.  Though the arrangements overall will remain the same come flowers may be substituted in maintaining and repairing our rentals over time.

Payments: We offer 2 payment options: Payment up front at the time of reservation or payments can be financed through SHOP PAY which splits into 4 payments.  SHOP PAY must be set up prior to the payment due date to avoid late fees. Late fees will be charged separately and will not be able to be financed.

25% of your rental fee is considered a retainer fee. Retainers may be withheld in event of cancellation.  Read terms below.  

Additional charges requesting alterations, late night pickups, or more than one setup location will be due no later than 90 days prior to the event.  If payment of balance due is not paid in full at that time the contract may be closed at the determination of Sharp Design LLC dba Hawaii Arch Rentals and the date can be opened back up for other interested parties.  Any contract that is allowed at the discretion of Hawaii Arch Rentals to remain open without full payment being made, with less than 30 days to the event for standard reservations or 90 days for custom reservations will be charged a 10% fee on the total balance due. An additional 10% late fee will be applied for each 7 days that the balance is late. Any outside costs incurred due to the late payment will be passed on to you.

Substitutions: Hawaii Arch Rentals reserves the right to make substitutions in the event the flowers or decor received are not of the quality suitable for the event. The integrity of the proposed look and color scheme will be maintained, and flowers of equivalent value will be used. Hawaii Arch Rentals will inform you if a dyed flower is being used and will not be held liable for staining of any garments due to their usage.

Changes:

 

From the time of the initial retainer until 30 days prior to the event for standard orders and 90 days prior to the event for custom orders, additions and subtractions can be made to the order.

Subtractions made to the original order cannot cause the total cost to go under 85% of the original proposal costs. Any liability on the part of Hawaii Arch Rentals is limited to the full refund of monies paid minus the retainer fee and associated costs incurred on your behalf by Hawaii Arch Rentals.

Additions to your reservation requested with less than 30 days prior to the wedding/event, may be accepted based on availability up to 7 days prior to the wedding/event and must be paid within 24 hours. No guarantee is given on additions that the same flowers will be available and pricing will be determined according to what is available. Color and style will be matched as closely as possible.

Special requests such as the addition of some fresh flowers or customizing a design to a specific color scheme will require 90 day notice to allow time to source the flowers and accommodate shipping to Hawaii.  Any special orders requested with less than 90 day notice before the event are not guaranteed to arrive prior to the reservation date.  The customer will be notified of associated costs as soon as a quote can be established.  Hawaii Arch Rentals will send the customer an invoice for the additional costs associated with the special requests.  The total amount is due at the time of invoice and the costs associated with special orders cannot be reimbursed once the order has been submitted and paid by Hawaii Arch Rentals to their supplier even if the reservation is canceled within the grace period.   Special orders are considered non-refundable expenses once the order has been placed.

Price is for 1 setup/location only. Additional fees will apply if the desired rental items are to be moved from the ceremony to the reception, or anywhere else. If you need any items moved from the ceremony to the reception, or anywhere else, an additional moving and setup fee of $300 will be charged. The additional set up and moving fee is because of factors such as extended wait or travel times that will be required by Hawaii Arch Rentals employees, many of our designs are very large and a large cargo vehicle is required to move them.  Some of our designs will need to be disassembled and reassembled to move them to the new location.  Hawaii Arch Rentals is a North Shore company which means accommodating venues over a large delivery area is a great resource for our clientele, but it also means there are higher costs unavoidable costs associated with special accommodations. 

Hawaii Arch Rentals will accommodate requests to coordinate décor with other vendors or venues but does not take liability for the result, changes, alterations, or special requests made to coordinate the overall feel and décor of the event.

For insurance purposes our florals can only be handled by Hawaii Arch Rentals employees.  A licensed, insured, and paid business entity not associated with may be allowed to move the items with advanced approval by Hawaii Arch Rentals in writing prior to moving the items.  Hawaii Arch Rentals does not accept liability for injury or damage to person, property, or out products resulting from outside entities moving or covering out rental products.

Please be sure to check with your venue to confirm our rentals will fit in the desired space.  Hawaii Arch Rentals is not liable for reservations made that cannot be accommodated at your venue due to size limitations.

Our rental fees include delivery, setup, and take down for one within our delivery area or as approved by management, with pickup happening no later than 9:00 pm. Please include specific details of the venue location, instructions for desired time and place of setup, and any details on where to set up the flowers in the special instructions at checkout.  If there is a coordination person handling your event please include their contact information.

Pickups past 9pm will incur an additional fee. Email us and we can give you a quote for this price for late pickups or moving the rental products from one spot to another.

Product Handling: No products rented from Hawaii Arch Rentals can be left outside overnight. The arches cannot be in the rain due without sustaining damage. If there is rain coming and the arch is outside, we will come get the arch early.  No one is allowed to transport, take-down, or move our product without prior written approval. Due to the rapidly changing and short-lived pop up rain storms in Hawaii, Hawaii Arch Rentals may provide rain covers that can be put on by a licensed, insured, and paid business entity not associated with Hawaii Arch Rentals such as a venue coordinator or event planner with advanced approval by Hawaii Arch Rentals in writing prior to the event. 

The use of rain covers will not be an option on heavy rain or windy days.  Rain covers are intended for the light showers lasting under 10 mins only.  Damages will be charged for harm caused by not using rain covers in the event of rain or if the products are damaged by putting on and taking off the covers or in the event wind causes the covers to damage the floral designs or rental products.  Indoor alternative setups in the event of inclement weather is preferred and any damage resulting from bad weather conditions is the responsibility of the renter.  Hawaii Arch Rentals does not make any guarantees or predictions of weather conditions or guarantee weather conditions will not negatively affect the rental products if set up outdoors.

Hawaii Arch Rentals does not accept liability for injury or damage resulting from unrelated entities moving our items.  If rain covers are used Hawaii Arch Rentals does not guarantee the presentation of the arrangements will not be affected by using rain covers.  Flowers may be bent or misplaced by use of rain covers.  Hawaii Arch Rentals reserves the right to not set up rental products outside on days where high or persistent winds, rain, or other adverse weather conditions may be damaging to the designs.  In the event that Hawaii Arch Rentals makes the decision not to set up the rental products due to inclement weather conditions and a backup indoor location is not designated a refund will not be issued for the rental expenses.  Rescheduling the reservation for another day because of the weather will be based on availability of the product and is not guaranteed that the exact product you reserved will be available on a future date. 

Accommodations will be made for setup at a backup indoor location if weather conditions don’t allow for outside use of our rental products due to high winds, rain, or other adverse weather conditions if those accommodations are requested prior to the initial requested setup time.  If a request is made for Hawaii Arch Rentals to move the products to an alternate location after the initial set up is done due to inclement weather a setup and moving fee of $300 may apply.

Any damage incurred to our product beyond natural wear while renting our items will be charged to your card in the amount of 2 times the rental price of the item. If an item is not returned within the agreed time frame of the rental agreement, you will be charged 4 times the rental cost of the item and will be allowed to keep the item. Your credit card information is safely stored at the time of reservation and will be deleted once all items belonging to Hawaii Arch Rentals are returned. 

Venue and Location Limitations: Hawaii Arch Rentals is limited by the rules and guidelines of the location(s) and site management. Negotiation with the officials for moderation of guidelines is the responsibility of the customer; Hawaii Arch Rentals will offer technical recommendations only. Reimbursements will not be made for unused items due to venue limitations not communicated to Hawaii Arch Rentals.  Products such as aisle flowers are rented as a set and cannot be divided without special allowance by Hawaii Arch Rentals because a partial set of flowers is not typically rentable to another party.

Cancellations: We require a 90 day cancellation notice, otherwise your retainer of 25% of the rental price will not be refunded. In the event of a war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding/event, we will move your retainer free of charge to another date based on availability. 

In the event of cancellation prior to 90 days refunds will not be refunded in full, they will exclude the payment processing fees, as well as any time we spent in communication with you, the time spent forming this proposal, any time spent working on your event preparations, fees charged by our banking institution for refunds, and any website fees associated with renting online. Charges incurred to make custom orders will not be refunded. 

Cancellations may be offered up to 30 days prior to the reservation date for a partial refund.  A 25% retainer fee will be kept and no costs for customization will be refunded.  

Cancellations within 30 days of the event are not allowed.

Hawaii Arch Rentals reserves the right to cancel this contract if at any time Hawaii Arch Rentals feels that the obligations cannot be met, or work conditions are deemed unfit for Hawaii Arch Rentals employees or contractors. Hawaii Arch Rentals will credit the amount paid, minus any actual costs on behalf of your reservation incurred up to the point of cancellation by Hawaii Arch Rentals.

Any person or persons making a rental with Hawaii Arch Rentals agrees to these conditions.

Any controversy or claim arising out of or relating to this contract, or the breach thereof, shall be settled by arbitration administered by AMERICAN ARBITRATION PROGRAM 810 Richards Street, Suite 641 Honolulu, Hawaii 96813. Judgment on the award rendered by the arbitrator may be entered in any court having jurisdiction thereof.
